Our AI Policy

We are committed to leveraging our combined communications experience and skills to continue to deliver strategic communications services to our clients, based on transparency and the highest of standards. We recognise AI and particularly Generative AI are valuable tools but they do not replace communications expertise based on experience and industry knowledge. We will keep an open dialogue with our clients, as our processes and procedures around AI and its usage evolves.

The purpose of the following policy is to establish guidelines for the ethical and effective use of AI and Generative AI tools within Springboard Communications.

1. Our Principles of Use

Our core principles for the use of Generative AI are:

  • Ethical and sustainable considerations: Ensuring AI use aligns with our values and respects privacy and consent. We are also conscious of the impact Generative AI has in terms of energy use and will take steps to understand this and minimise it where possible.
  • Transparency: Commitment to being transparent with clients about the use of AI in their projects.
  • Accountability: Assigning responsibility for overseeing AI projects and ensuring compliance with regulations and guidelines.
  • Fairness: Ensuring that AI-generated material is free from bias and represents diverse perspectives.
  • Quality control: Implementing measures to maintain the quality and accuracy of AI-generated content.
  • Supporting role: AI should support our activities, but never lead them. Human oversight, strategic insights and guidance are essential and will be used in every instance.

2. Training and Education

We understand that AI is an evolving tool, and usage trends and understanding will continue to evolve and improve. As such, we are committed to providing staff with training to understand AI technologies and their implications, from content generation and accuracy to privacy and copyright issues.

Our team will regularly receive training and discussions on the ethical considerations and best practices in AI usage as it relates to our work at Springboard.

3. Evaluation and Review

  • We will conduct a regular evaluation of the AI tools that we are using as an agency and their impact on our operations.
  • We will also seek feedback from staff and clients on the effectiveness of AI use.
  • We will conduct a periodic review of this policy as AI tools continue to develop.

4. Scope

AI is being used by Springboard as a tool to support our work – as an editing and analysis tool, brain-storming support, or for practical applications for calculations etc. It will not be used as a replacement or in place of our strategic advice, planning or the drafting of documents. Its primary purpose is to improve efficiencies.
